Voter Information Letters and the Voters’ List
Every eligible elector whose name appears on the City of Clarence-Rockland Voters’ List will be mailed a sealed, personalized Voter Information Letter by first-class mail.
The letter includes your unique Personal Identification Number (PIN), the internet address and telephone number for voting, voting instructions, the dates and hours of voting, Voter Help Centre information, and the offices and candidates for which you are eligible to vote.
You may apply to be added to the Voters’ List or to correct your information using the voter registration process identified on the City’s election website or by attending a Voter Help Centre. You must complete the prescribed form and provide satisfactory identification. Changes may be made until October 26, 2026, at 8:00 p.m.
Verify that your name is on the Voters’ List and/or verify that your information is correct.
If you are on the Voters’ List and your information is correct, contact the Election Team or attend a Voter Help Centre. An Election Official must verify your identity and confirm that you are on the Voters’ List before a replacement letter and PIN may be issued.
If you are not on the Voters’ List or your information is incorrect, you will be prompted to submit an online form. If the registration or updates are submitted after October 15, 2026, you may have to attend City Hall or a Voter Help Centre to retrieve your Voter Information Letter.
Attend a Voter Help Centre with satisfactory identification. If the PIN has not been used, an authorized Election Official may disable the original PIN and issue a new Voter Information Letter after you complete the required oath or declaration.
Duplicate elector records can result in more than one letter. You may vote only once in the City. Contact the Election Team or bring the extra letter to a Voter Help Centre so the duplicate PIN can be disabled.
Using the Voatz Voting System
Use the secure internet address or toll-free telephone number printed on your Voter Information Letter and follow the instructions. The internet address must be entered in your browser’s address bar. The website will not be found through a search engine.
Yes, you can select French or English. As you access the Voting System, it will default to your browser’s selected language. You do have the option to change the language by selecting the language of your choice in the language menu located on the top left of your screen.
No. For the City of Clarence-Rockland election, follow the internet or telephone instructions printed on your Voter Information Letter. Do not use links or instructions from unofficial sources.
You may choose either method. Once your ballot has been successfully submitted, your PIN cannot be used again.
If your ballot has not been submitted, reconnect to the system and enter your credentials again. The system will allow you access until you have successfully submitted your vote. If the system indicates that your PIN has already been used or is invalid, contact the Election Team.
Yes. The system will display or repeat your selections and allow you to change or confirm them before final submission.
No. Once you confirm and submit your ballot, it is final and cannot be changed.
Yes. The voting system provides an option to decline to vote for an office. Review the confirmation screen or telephone prompt carefully before submitting your ballot.
The system provides a confirmation when your ballot has been successfully submitted. If you are unsure, reconnect and enter your credentials. The system will indicate if voting has been completed.
Do not submit the ballot. Contact the Election Team or attend a Voter Help Centre so an Election Official can review and, where permitted, correct your elector information and ballot entitlement.
Privacy, Security and Assistance
No. The voting process records that a PIN has been used but does not connect the elector’s identity to the selections made on the ballot.
Do not provide it. Treat your PIN as confidential. No candidate, campaign worker or other person is entitled to ask for your Voter Information Letter or PIN.
Attend a Voter Help Centre immediately with satisfactory identification. The Election Team will verify the status of the PIN, ask the required questions and may require an oath or declaration. Suspected impersonation or corrupt practices may be referred to the Ontario Provincial Police.
Yes. At a Voter Help Centre, an Election Official, interpreter, friend or support person may assist you. A friend, interpreter or support person must take the required oath and must follow your instructions while preserving the secrecy of your vote.
Electors may vote online or by telephone from a location of their choice. Accessible voting areas and assistance are available at Voter Help Centres. Contact the Election Team if you require election information in an alternative format or another accommodation.
Candidates, scrutineers and campaign team members are prohibited from assisting an elector to vote. Contact the Election Team or use a trusted friend, interpreter or support person in accordance with the election procedures.
Voting Away from Home and In-Person Help
Yes. During the voting period, you may vote online from any location with internet access. Telephone voting is available using the number on your Voter Information Letter, subject to telephone service availability.
Visit a Voter Help Centre during its hours of operation. Computers and election assistance will be available for internet voting.
